Do I need an agent or an automation?
An automation is a line: trigger, steps, output, the same every time, and it is the right tool when the input is always what the steps expect. An agent is a loop: it reads, decides what to do next, does it, and reads again until the job is done or a rule stops it, which is what you need when there is judgement between the steps. Most businesses need both, and most of what we build is an automation with an agent in one seat.

How do you build a company knowledge base?
Start with folders, not software: one place where every document lives with the thing it is about, a constitution file at the root that says the rules, and an inbox for anything unsorted that never stays there. Then connect the tools that hold the rest, email, files, the CRM, the chat, read-only, and only then put an agent on top that answers with its source. The order matters because a knowledge base is a filing discipline before it is a product.

How do you track the ROI of AI in a business?
Track hours first and money second. Before anything is built, measure the manual version of the one task you are automating, as a range of hours per week and who does them, and write it down. After it ships, measure the same thing the same way for a month, then multiply the difference by what those hours cost. A tool that cannot show you that number was never measured, and most AI dashboards are measuring the tool, not the task.

What does an AI consultant cost?
For a small or mid-sized business, a scoped project with an AI consultancy runs from about $3,000 for a single workflow to $15,000 for a system of several, and specialist agencies quote $7,500 to $20,000 per workflow. Retainers run $1,500 to $8,000 a month. Ours are three numbers: $9,000 for a project, $4,000 a month for ninety days, or $3,000 a month for a year.

Do I need AI or a spreadsheet?
If the work is arithmetic on data you already have in one place, a spreadsheet. If the work is reading, deciding, or moving information between systems, that is where AI and automation pay, and a spreadsheet was only ever the place the re-typing landed. Most businesses need the spreadsheet to keep doing its job and something else to stop feeding it by hand.

How do you connect QuickBooks to a CRM?
Three ways, in order of effort. A native integration if your CRM has one (HubSpot and Salesforce both do), which syncs customers and invoices in one direction or both with no code. A workflow tool like n8n, Make or Zapier when you need the sync to do something specific, such as chasing an overdue invoice from the CRM's own email. A built connection when the rule involves judgment or touches more than these two systems.
